Transferring Files from Personal Gmail to Your APS Google Account
Follow these instructions to move your personal documents, templates, or teaching materials into your official Avon Public Schools Google account.
Method A: Copying a Shared File (Best for standard docs, slides, or sheets)
If your personal Gmail account has been granted temporary permission to share files to your district account, follow these steps to make a permanent copy that belongs to APS:- Log into your APS Google Account (
@avon.k12.ct.org).
- Open the file that was shared from your personal
@gmail.comaccount.
- Click File in the top menu bar.
- Select Make a copy.
- Choose a folder in your APS Google Drive as the destination and click Make a copy.
- (Optional) Delete or unshare the original file from your personal Gmail account to keep your files organized.
Note: The new file is now owned by your APS account and will remain completely accessible even if external sharing rules change again in the future.
Method B: Transferring Ownership (For complete transfer of Google Drive files)
If you want your APS account to become the primary owner of a file currently stored in your personal Google Drive:- Log into your Personal Gmail Account (
@gmail.com).
- Right-click the file (or folder) in Google Drive and select Share.
- Enter your APS email address and click Send.
- In the sharing menu, click the dropdown menu next to your APS email address (where it says Editor) and select Transfer ownership.
- Click Send Invitation or Transfer Ownership to confirm.
- Switch to your APS Google Account, open Google Drive, accept the transfer request, and move the file into My Drive.
Method C: Download & Re-upload (Best for large folders or offline backups)
If you have a large batch of files or folders to migrate from your personal account:- Log into your Personal Gmail Account (
@gmail.com).
- Select the files or folders in Google Drive, right-click, and choose Download (Google will compress them into a
.zipfile).
- Once downloaded, locate the file on your computer and extract/unzip it.
- Switch to your APS Google Account in your browser.
- Open Google Drive, click + New > File upload (or Folder upload), and select your files to upload them directly into your APS Drive.
